There is no denying that ECM (enterprise content management) VARs have been enthusiastic promoters of document scanning for a long time. And why shouldn’t they remain excited about the technology? After all, Business Solutions magazine publishes stories month after month about VARs who continue to be very successful selling scanning solutions. Many years ago, scanning was primarily a centralized process requiring dedicated operators and was, for the most part, restricted to an enterprise-level technology due to the high cost associated with implementation and operation. However, vendors and VARs alike recognized the revenue generating opportunity that results from making the technology more affordable and accessible to a wider range of end users. The result? Councilman Maurice “Mo” B. Hill and Councilwoman Melanie S. Donohue are the first Toms River, NJ, officials to take part in a program implemented by the township clerk’s office that has an ultimate goal of going paperless. The document management software, Laserfiche, lets records manager Greg Horback hyperlink ordinances, resolutions and accompanying background information for meeting agendas onto a flash drive, which Hill and Donohue then plug into their own personal laptop computers, forgoing the usual manila folders filled with papers. “This just makes it so much more efficient,” Donohue said.

Out with the Old, In With the New

On Feb. 1, the Ionia office joined Eaton County, the state pioneers in going paperless, as well as Livingston County in filing case files electronically instead of by paper. “This has really changed the way we do business,” Ionia County Prosecutor Ron Schafer said. He said going paperless was one of his priorities when he was elected prosecutor of the county. As a result of the transition, everything from subpoenas, police reports and summaries typically filed in a paper folder and stored on in a filing cabinet are now all filed electronically using a computer software program called Laserfiche.

Picture this:

A client sits down in a financial advisor’s office to strategize. A decision is made. Suddenly, an electronic form pops up – completely filled out. The advisor signs it electronically and clicks submit. An email then pops up on the computer of the advisor’s OSJ who does a suitability check, signs it electronically and clicks submit. Automatically, the form goes to the back office of the advisor’s broker-dealer from which it is routed through various departments – electronically. Finally, it is electronically submitted to the clearing house for settlement. Ultimately, the form is stored in a central electronic filing cabinet at the broker-dealer where all interested parties, including the advisor and the client, have access to it. Through all this, nobody has picked up a pen or touched a piece of paper.

This is the “Straight-Through Processing” system developed and refined by Laserfiche, a world leader in document imaging. It is a scene being played out with increasing frequency throughout the country, according to Jeffrey Green, Laserfiche’s director of compliance. (more…)
