DocuNav AutoFile is an automation and data lookup tool that captures data from any third-party database and automatically populates Laserfiche template fields. AutoFile automates business processes by automatically creating folders in Laserfiche, appending field values collected from third-party applications, and moving documents into the proper folders following a predetermine set of filing rules.
AutoFile significantly decreases the time involved in indexing and filing Laserfiche documents and creates an automated process. Spelling errors and misfiling are virtually eliminated, so users can process more documents with fewer errors since and focus only on exceptions.
AutoFile is operated by rules, which may be configured per folder and template and made conditional on any field values. You can combine multiple rules to create rule series, and multiple rule series can be created for various departments within a company. AutoFile rules can be scheduled to run at any frequency and monitor any specific folder/location, and it is a multi-threaded application that executes rule series separately.
AutoFile contains two types of rules: move and data lookup. A move rule will look for documents in a specified folder in Laserfiche, review the template data, and either move the document to the correct folder or create a folder for the document. This eliminates users making decisions on where items should be filed, keeping the folder trees organized and placing structure behind it as well. Data lookup rules provide a way for Laserfiche template data to be filled out using an external data source, such as SQL, Oracle, or ODBC.
AutoFile is a server side application with connectivity to any third-party database, and its configuration utility allows administrators to easily create, edit, and delete rules and rule series. Additionally, AutoFile’s monitoring processes enhances quality control process by logging: documents that have been moved or gone through the data lookup process; the logging in and out of AutoFile between series runs from the Laserfiche server; any errors that occur during the filing process.
For an overview of AutoFile’s capabilities, let’s consider the process of a clerk in the Human Resources department receiving an employee evaluation form. First, the document is scanned into Laserfiche. The end-user will then enter the type of form (which in this example is “Employee Evaluation”) into the document's template fields. The end-user reads the employee's SSN found on the evaluation form, which is 123456789, and keys it into the Social Security Number field on the document's template.
AutoFile then takes over the rest! AutoFile first queries the customer’s third-party database (such as ERP, human resources package, student information system, municipal court systems, etc.) for the employee's information, i.e. last name, address, department, position, hire date, etc. Once the information is found, AutoFile then automatically populates the remaining template data for this document in Laserfiche.
Assume the customer files documents in Laserfiche first by Active Employees, then by document type or category: Performance Evaluations, and finally, employee name and SSN. Autofile then moves the document to the folder named “Active Employees”, then the subfolder “Employee Evaluation,” and lastly files it by employees name and SSN. If the folders have not been created for “123456789” and/or “Employee Evaluation,” AutoFile automatically creates them and places the Laserfiche documents within the folder.
