Tech Tip: Quick Fields 8 Preview, Auto-Annotation Process
March 30th, 2009 Comment on this articleAuto-Annotation, a new process available in Quick Fields 8, automatically redacts, highlights, strikes through, or underlines words in a document by matching an exact word or phrase or a pattern in the text.
Configuration
You can configure the Auto-Annotation process to be performed on all pages or only certain pages. In addition, you can specify the annotation’s color (you can even set custom colors for highlight, strikethrough, and underline).
Example: Automatically Redacting Sensitive Data
If the documents you are scanning often contain sensitive information, such as social security numbers, you can configure this process to automatically find and redact this data before it is stored in the repository. Best of all, it does not matter where in the document the sensitive data appears. Quick Fields 8 will scan each image’s text for the information and redact it.

In this screenshot, the process will search the text for a specific pattern that represents the format of most social security numbers.
This example could be extended using more complex regular expressions, such as redacting financial figures, specific names, addresses, etc. You could also use this feature to automatically redact all pages that were identified by a specific document class, using the regular expression \w+.
Example: Automatically Highlighting Important Information
Using Auto-Annotation’s highlight feature, you can visually distinguish certain information from the rest of the page.
For example, Mike’s session is used to capture sales orders and store them in the repository to be processed by his users. In many cases, sales orders must be printed during processing. Since Mike needs a way to visually distinguish customer numbers and product numbers on the printed image, he configures his session to automatically highlight this information. This makes the printed sales order, which often contains a large amount of information, easier to read, as it highlights the information that his users actually need.
Note: You can specify whether a document’s annotations should be printed by configuring print settings in the Laserfiche Client.
