Of his probationers, Eyrick says, “They’re just people who make some bad decisions. I try to focus on their issues and their individual dynamics, while at the same time testing them and making sure they’re doing what they’re supposed to be doing.”

Tech Tip: Department-Level Collaboration in Agenda Manager 8

New in Agenda Manager 8 is the ability to create a workflow for department-level collaboration and another workflow for city- or organization-wide routing.

Laserfiche Agenda Manager streamlines and automates the creation of meeting agendas. Agenda Manager was designed to meet the needs of all participants in the agenda process. All organization and interaction takes place via the Web, except for interactions with Microsoft Office on a local machine (e.g., creating the agenda). More details about the forthcoming release of Agenda Manager 8.0 can be found in the “What’s New in Agenda Manager 8.0” white paper.

Staff members propose agenda items using a Web form, and proposed items, along with accompanying reports or other files, are routed to reviewers based on an approval workflow you create. New in Agenda Manager 8 is the ability to create a workflow for department-level collaboration and another workflow for city- or organization-wide routing.

For example, before submitting an item for inclusion in the Summersville City Council meeting agenda, the Water, Fire, and Police departments need the ability to approve or reject items within their own teams. The following workflows should be created:

• Water Department Workflow
• Fire Department Workflow
• Police Department Workflow
• City Council Workflow

Users will submit an item to a department-level workflow first. If the item is approved by the department, it will proceed to the primary workflow, which includes approvers outside the department. Items not approved by the department will not be reviewed by the rest of the organization.

In this scenario, the department-level workflows are connected to the primary workflow. This can be set up when creating a workflow using the drop-down box in the following image.

In addition, Agenda Manager administrators can specify which workflows a user can submit items to, allowing users to choose if an item should skip the department-level workflow and proceed directly to the primary workflow.

For example, Jane has the Submit to Workflow permission for the Fire Department Workflow and City Council Workflow. When submitting an item, Jane can choose which workflow to submit the item to.
Alternatively, Bob the Agenda Manager administrator does not want Jane to be able to skip Fire Department Workflow. Bob assigns Jane the Submit to Workflow permission for the Fire Department Workflow but not for the City Council Workflow, which requires her to always submit to the department-level workflow.
