Celebrate the success of the Laserfiche community with highlights from Empower 2011.

We all do better when we have a support network. As highlighted during the Day One video presentation, when a single organization joins forces with thousands of others to share knowledge, ideas and best practices, it becomes much more powerful than it could be on its own.

At Empower 2011, it was clear that the Laserfiche community understands the strength inherent in numbers. It was our largest conference ever, attracting 1,400 attendees in the form of VARs, customers, prospects, analysts, reporters and Laserfiche employees.

“In 2010, the members of the Laserfiche community showed real ingenuity and creativity in their use of agile ECM. We’re delighted by their achievements and honored they made the effort to attend the conference to share the secrets of their success with their peers,” said Nien-Ling during her keynote speech.

Reflecting on the Community’s Success in 2010

During the conference, many Laserfiche customers shared the amazing results agile ECM has helped them achieve. Here are just a few of the highlights:

Using WebLink, the Long Beach Police Department has strengthened its gang injunction program. In 2010, gang-related murders in Long Beach were down 53.8% and gang shootings decreased by 13.5%. Jonathan Stafford, Administrator of LBPD’s Records & Technology Division, said, “Laserfiche allows us to deliver information to officers in the field in as few clicks as possible. The impact on gang activity has been huge.”

Using Laserfiche, Durham County, NC, will reduce Workers’ Comp claims by millions of dollars over the next few years. “Because staff no longer has to transport heavy files to court or move heavy boxes to retrieve closed files, the risk for injuries, particularly back injuries, has been greatly reduced. Laserfiche will potentially mitigate Workers’ Compensation claims by millions in the next few years,” explained Nina Bullock, Administrative Assistant to the County Attorney.

Pulte Mortgage, meanwhile, enables business continuity during harsh Colorado winters by giving its loan processors anywhere access to information using Web Access. “In the past, if we heard a snowstorm was coming, we’d move all the paper loan files that were due to close to a hotel and house our processors there until the storm had passed,” said CIO Gary Ives. “Giving them access to the information they need from home saves money and energy.”

In addition to individual organizations’ successes, the community as a whole had a productive year. The number of Laserfiche Luminaries expanded by 25%, the number of customer-led user groups multiplied to 30, and more than 15,500 people attended 385 Webinars over the course of the year. Nearly 50% of the top digital cities and counties in America are Laserfiche users, and hundreds of people have already certified their content management expertise through the Laserfiche Certified Professional Program.

Laserfiche itself had a busy year, supporting the launch of Laserfiche Strategic Services Canada, expanding its offices in Hong Kong and Shanghai, releasing Laserfiche 8.2 and a new integration with Salesforce.com, and becoming the first (and, so far, only) ECM provider to achieve DoD 5015.2 certification for its integration with SharePoint 2010.

Looking Ahead

For Laserfiche, 2011 will be another year of growth. We’ll soon be opening a new domestic office, as well as sharpening our focus on Latin America and continuing to empower LFI’s success in the Pacific Rim.

In terms of the product roadmap, our developers are currently working on:

Ensuring that Laserfiche provides a seamless mobile experience with innovations like the Laserfiche iPhone app.

Expanding the number of pre-built activities included with Workflow.

Making Laserfiche 8.3 compliant with Australia’s VERS certification requirements.

As she came to the end of her keynote speech, Nien-Ling quoted Winston Churchill: “We now find ourselves in a position where I say that we can be sure that we have only to persevere to conquer.”

Agile ECM keeps Asset Dedication’s cloud-based business processes compliant

Brent Burns and Stephen Huxley founded Asset Dedication, LLC in 2002 with an innovative notion: that the liability-driven investment portfolios common in the institutional world could be engineered for individuals according to their specific income needs, akin to a personalized pension fund. In 2009, advancements in processor technology, coupled with the support of BondDesk Group, LLC, gave the Mill Valley, CA-based firm the opportunity to transition from consultants into a full-service sub-advisor offering individualized portfolio management to RIAs.

Key to this transition, Burns believed, was leveraging business technology to minimize both the operational and risk management costs of working directly with advisors. “As a growing company, technology was the way to get more done with a smaller headcount,” he says.

Burns consulted Joel Bruckenstein, founder of Technology Tools for Today (T3), the multimedia practice management resource for the financial services industry. “Joel really had the vision. He said, ‘You guys could be a virtual firm,’ and that really resonated with us. Joel’s thinking was that we couldn’t afford to work with paper,” Burns remembers.

“We wanted to keep our fees low enough that we’d be extremely competitive—we’re less expensive than 90% of bond funds. To achieve that, manual processes just weren’t going to work.”

Part of the Solution

Bruckenstein suggested Laserfiche agile ECM. “For what they wanted to do, Laserfiche was the missing piece: they’d be paperless, and they’d have a solid workflow engine to share and secure information with their Portfolio Management System (PMS) and Client Relationship Management (CRM) system. Plus, they’d have that compliance piece,” he says.

“Laserfiche made sense because it could integrate with Microsoft Dynamics, which Tamarac was already integrated with, and do it quickly and easily enough that there wouldn’t be a lot of cost and lead-time,” Bruckenstein adds.

For his part, Burns saw the value of having “that compliance piece” when Asset Dedication purchased a Laserfiche Avante system in September of 2010. “By integrating Laserfiche with our Web-based technologies, we have a document management system that can talk to the cloud, and where the information we need to keep secure for compliance and auditing stays on our own server,” he says. “Regulators come in and, once they see that we have Laserfiche set up the way we told them, they have confidence in it the same way we do. We’ve been able to make the commitment to be paperless, but in a way that makes it easy for auditors to see that we’re following the guidelines.”

.NET Gain: A World-Class System without a World-Class Price Tag

Burns sees long-term value in building a system agile enough to maximize the firm’s infrastructural investment as the firm grows. “BondDesk has this world-class bond inventory and trade order management system, so we needed to marry that to a world-class equity portfolio management system like Tamarac. On top of that, they’ve bundled it with Microsoft Dynamics CRM through Tamarac’s Advisor 9, so we’ve got all these systems that all talk to each other and for the most part it’s a single log-in,” he explains. “Now, on the back-end, we can access every document we need because SharePoint talks to Dynamics and Laserfiche talks to SharePoint. Everything’s still on a Microsoft .NET framework, so we can add and subtract layers without it turning into a huge project with a hefty price tag.”

This agility has already translated into substantial savings. “We have been able to drive development costs way down—we can post a few Web services and we can integrate for $2,000 rather than $200,000,” says Burns. “Our risk is so low, we can just pop something out to replace it. When we upgrade to SharePoint 2010, the transition process will be minimal.”

Burns notes this interoperability translates to a more seamless user experience, no matter who’s using the system: a client, an advisor services representative or another staff member. “Once someone signs onto the system, they can do everything they need to without leaving the program they’re using. I don’t want people having to learn 20 systems—I want that single sign-on; I want it to be that fast,” he says.

“The way we look at technology is that it’s going to work if it can adapt it to the way we work, not the other way around.”

New Account Formation Made Advisor-, Client- and Business-Friendly

Burns points to Asset Dedication’s automated account formation process using its AdvisorSpace portal. “As we developed our AdvisorSpace portal, having everything on the .NET platform has really allowed us to fill in the gaps and make the experience seamless, and a lot of the back-end processes automatic,” he explains. “We were able to control the experience and avoid making more work for ourselves.”

An example of this is the new account formation process, including the client meeting that takes place leading up to it and the contract management that follows it. An advisor meeting with a client logs into the AdvisorSpace portal using an iPad. From there, he can access marketing documents through SharePoint. He can submit a request to run a proposal, which the SharePoint workflow engine routes back to the advisor. Then, he can initiate a client agreement using DocuSign. The contract is then automatically e-mailed to the advisor and Asset Dedication managers—until they sign off, when it’s automatically stored in Laserfiche.

“We step in a little bit, but essentially the whole back end operates seamlessly,” Burns says.

Technology Attracts Talent

As the firm grows, Burns sees the value of having a tightly integrated technology platform to attract new talent. “When advisors do their due diligence and ask, ‘What are you using?’ and we say, ‘Tamarac, MS Dynamics and Laserfiche,’ that’s just one more thing they can check off their list. We’re using proven technology in an innovative way.”

The value of that innovation, he says, in addition to reducing development costs, ensuring compliance and offering more convenient, comprehensive client services, is saving time. “For every one of us, time is money. So the more time you’re spending on basic operations, the less time you’re working with clients and the less revenue you’re generating,” Burns says.

“Our business model is based on using incredibly complex technology to drive very sophisticated processes in a way that is very intuitive to understand. For us, Laserfiche is an obvious natural partner.”

“Laserfiche delivers a complete offering to customers seeking an integrated content management and SharePoint solution.”

We’ve all seen them: the young man suffering from his first bout of bipolar mania—paranoid, delusional and unable to sleep; the 40-year-old veteran, injured in Iraq, addicted to painkillers and living on the streets; the single mother with schizophrenia—abused, uneducated and unconvinced that antipsychotic drugs will ease her pain.

For the people who struggle with these issues in southeast Texas, Spindletop Mental Health Mental Retardation (MHMR) Services has the resources to support their recovery and relieve their distress. But with over 8,000 patients every year and upwards of 400 employees, Spindletop’s ability to respond promptly to records requests—and, by extension, to patients—was being compromised.

Over 80,000 files resided in a hardcopy storage facility that cost more than $2,000 a month to maintain. And even with six full-time staff members dedicated to managing hardcopy documents, some records took as long as three days to locate and cost $4 each to retrieve and deliver; others were lost for good.

Realizing that an enterprise content management system would ensure access to high-quality services in a more cost-effective way, the center turned to Laserfiche for help.

Complete Content Management within a SharePoint Site

Spindletop was already leveraging SharePoint for the company’s intranet site, but scanning and storing 80,000 documents in SharePoint required more comprehensive content management functionality.

“We wanted to centralize access to patient records without forcing our employees to go out of their way,” explains Jerry Carnley, CIO at Spindletop. “Our intranet seemed to be the natural place to do this, but we needed to implement a content management solution that would be easy to implement, easy to install, and eliminate extra work for the people who deal with patient documents every day.”

Spindletop selected an Agile ECM system engineered with Laserfiche and SharePoint, which met its content management needs in three key ways:

Seamlessly added document imaging functionality to SharePoint with minimal requirements for installation, support and maintenance.

Dramatically expanded the amount of content that can be stored online while also improving document security.

Provided federated search across content stored in Laserfiche and SharePoint.

“Given Laserfiche’s experience and dedication to the Microsoft suite of technology, we saw that it delivers a complete offering to customers seeking an integrated content management and SharePoint solution,” Carnley says.

Specifically, Agile ECM engineered with Laserfiche and SharePoint enables Spindletop to:

Bring comprehensive document imaging and records management functionality to Spindletop’s existing SharePoint intranet. Employees scan and upload documents directly through the SharePoint interface, then view and manage them with the easy-to-use Laserfiche document viewer.

Supply superior security, records management and content distribution capabilities when content is moved between SharePoint and Laserfiche—manually, as part of a workflow process or automatically based on a SharePoint expiration policy.

Provide the ability to retrieve content from both Laserfiche and SharePoint using Spindletop’s intranet search box.

Automate content-related processes based on activities occurring in both SharePoint and Laserfiche with graphical, drag-and-drop .NET-based workflow configuration that makes workflow design simple for IT staff.

As a whole, Agile ECM provides a cost-effective complement to Spindletop’s SharePoint intranet site—with all of the content management capabilities the company needs.

Results of Running Smarter

With the assistance of DynaSource, a Laserfiche reseller located in Texas, Spindletop implemented Laserfiche and transformed the way it manages content, most notably in the four following ways:

Instant search and retrieval. From any internet access point, staff can instantly locate scanned records by using the “Electronic Imaging” tab on the SharePoint intranet site. Offsite employees have
access to the Laserfiche digital records repository through a password-protected Citrix site.

Sure-fire security. Because Spindletop’s SharePoint intranet uses full Laserfiche security enforcement, employees are granted access to records by department. Employees can view the records for their
own clients, but restricted patient, employee and financial information remains confidential.

Easy and efficient scanning. Laserfiche templates enable employees to scan ten times more content than they could before the custom templates were implemented.

Time-saving automation. When new content is scanned into the system, Laserfiche automatically populates template fields and generates and organizes new folders and subfolders. Because each client has between six and eight subfolders with a total of 25-52 documents to be scanned, this eliminates redundancy and extra work.

According to Carnley, implementing Agile ECM has had a number of noteworthy benefits. “We’ve increased productivity, and morale has jumped in every department that uses Laserfiche,” he says.

“There’s no more waiting around for days for hardcopy documents to be found, and no more lost or misfiled records resulting in huge institutional fines. And we aren’t spending thousands of dollars each month on offsite storage facilities,” Carnley adds.

But best of all from Carnley’s perspective as a CIO is that because Agile ECM engineered with Laserfiche and SharePoint supports developers who need to extend collaboration, scan images and set up workflows to quickly respond to business needs, deployment was quick, easy and affordable. There was no need to hire expensive programmers or IT consultants and no need to build customized plug-ins from scratch. In addition, the intuitive user interface makes the solution easy to administer, since drag-and-drop functionality enables IT staff to permit line-of-business employees to easily make changes to existing workflows and folder trees without IT staff assistance.

“Laserfiche provides a scalable solution that’s easy to install, easy to administer and easy to use,” concludes Carnley. “We’re very happy with the way Laserfiche has enabled Spindletop MHMR Services to expand our use of SharePoint and improve the way we manage content.”

Laserfiche to support new Microsoft SharePoint Server 2010 integration opportunities, providing clients with significant enterprise content management (ECM) benefits

LONG BEACH, CA (Laserfiche) Oct. 19, 2009—Laserfiche® today announced it is geared to support new features for its Agile ECM framework using the enhanced capabilities of the upcoming release of Microsoft SharePoint Server 2010. Laserfiche will add an ADO.NET provider to its existing SharePoint Server 2010 integration to enable access to Laserfiche data from Business Connectivity Services. Federated search will be supported to retrieve documents using Laserfiche’s search engine at the same time a SharePoint repository is searched. Records Management document categorization will be enhanced through the use of SharePoint Server 2010 Business Connectivity Services. Document content will be more finely tuned to match the topic of portal pages.

Laserfiche’s integration with SharePoint 2010 maximizes the strengths of both systems: While SharePoint 2010 adds collaboration portal functionality to an organization’s infrastructure, Laserfiche provides document imaging and content management that is scalable and easy to implement and use. “Companies are now looking to new ways to manage their information infrastructure with cost effective ECM systems that will streamline processes and easily improve adherence to enterprise compliance requirements,” said Tom Wayman, Laserfiche Vice President of Product Strategy. “Laserfiche complements the SharePoint platform supporting developers and users who need to extend their collaboration, scan images, and set up workflows to quickly respond to business needs.”

“People want more choice and flexibility in how, where, and when they work,” said Owen Allen, SharePoint senior product manager, Microsoft Corp. “Laserfiche is built on the SharePoint 2010 platform to offer customers a way to achieve richer and better collaboration and productivity using SharePoint 2010.”

“Given Laserfiche’s experience and dedication to the Microsoft suite of technology, we believe it delivers a complete offering to customers seeking an integrated content management and SharePoint 2010 solution,” said Jerry Carnley, CIO of Spindletop MHMR (a community mental health center). Spindletop has evolved as an innovator of technology among the community centers of east Texas (covering about 30% of counties in Texas) that store and access data on the SharePoint Server farm housed at Spindletop.

“Laserfiche provided custom templates that allow our users to scan 10 times more content than before the custom templates were implemented,” added Carnley. “Also, the Web interface provided by Laserfiche allows us to properly and securely archive this sensitive data in a responsible way that is accessible from anywhere on the private MPLS network that connects all 10 community centers.” Laserfiche value-added reseller DynaSource successfully integrated Laserfiche Web Access with Spindletop’s SharePoint Server-powered Intranet.

The Laserfiche customer base and community of developers are eager to start working on integrations with SharePoint 2010 to leverage new features and support them when available. With the Microsoft SharePoint Conference 2009 fast approaching, Laserfiche looks forward to the unveiling of SharePoint Server 2010 and to continuing its tradition of a firm alignment with Microsoft technology.
