They
call it “The Rat House.” It's a one-story, 400 sq. ft. brick building
directly out the back door of the offices of the Louisiana District Attorneys
Association (LDAA) in Baton Rouge . It's stacked floor-to-ceiling with
bankers boxes full of archives dating from the association's founding
in 1973 until three years ago. Files for the last three years are kept
in an office in the main building.
"We
have a very real space problem and can't wait to get rid of the paper,"
says David Baxter,
LDAA's
director of information services, who is leading an intensive effort to
scan all those files into LDAA's newly installed Laserfiche system. Baxter
adds, however, that cramped quarters are not the primary reason that LDAA
is moving everything into Laserfiche.
"We
publish thousands of pages of judicial decisions and legislative reports,"
he explains. "Our district attorneys rely on our reports to be sure
that they are up-to-date with the law in our state. Our ultimate goal
with Laserfiche is to become a dynamic digital resource for them."
LDAA
currently has two clerks working nearly full time to scan the archives,
estimated to total more than 500,000 pages, into Laserfiche as quickly
as possible.
LDAA
is recognized as one of the most active and technically progressive of
the associations serving US district attorneys. Its membership includes
Louisiana 's 41 district attorneys and more than 700 assistant district
attorneys. Allen Gilbert of Baton Rouge-based Advanced Office Systems,
managed system design and installation, and is assisting Baxter with his
scanning strategy and plans for expansion.
