QUICK FIELDS HELPS YOU PROCESS AND PLAN

Laserfiche Quick Fields, the complete document capture and processing solution designed from the ground up to work with Laserfiche, helps users take control of document processing both on a day-to-day basis and when planning for the future.

A case in point: Quick Fields was a key factor when Peg Latimer, the IT manager for the Muskegon, MI, Community Mental Health Services, chose Laserfiche for a major document management project. The goal was to convert the organization from paper to electronic document management as quickly as possible, starting with the Patient Records Department. There were more than one million pages of paper records in that department alone.

Ms. Latimer’s game plan depended on having easy and flexible processing capabilities to index and archive documents scanned both by an outside service bureau and by in-house staff.

“Because Quick Fields is close to being an out-of-the-box solution, we were able to get started quickly without custom programming,” she explains. “We were able to bring our back-file patient records online quickly and efficiently using a scanning bureau. We handle day-forward scanning in-house.

“Quick Fields routes the finished and indexed documents where they belong. Changes to the processing needed to accommodate different situations can be performed easily in Quick Fields, if and where required.”

Now that the first phase of the project is fully implemented – ahead of schedule – Ms. Latimer is extending Laserfiche to other departments, starting with Human Resources.

“Quick Fields has changed the way we look at implementing Laserfiche in other departments,” she says. “We used to think of document capture and processing as a major challenge. We now see it as a very important, but very achievable step that we are confident will go well.”

Muskegon Community Mental Health Services assists more than 4,000 area residents as one of 17 local agencies of its kind in Michigan. BOLT Document Management, a Laserfiche Solution Provider based in Elkhart, IN, worked with Ms. Latimer to develop the Muskegon solution and provides continuing support. The system currently serves 120 stations at multiple sites and continues to grow.

*THE EDUCATIONAL SERVICES DIVISION AT FORT HOOD, TEXAS, relies on Laserfiche to ensure that soldiers get credit for their accomplishments. "Before Laserfiche, there were too many ways to make mistakes, and documents got lost," says System Administrator Chong W. Yim. "We only needed to add the appropriate WebLink methods and properties," comments Bob Blackwelder, Chula Vista 's lead programmer/analyst, "and our document management system--which included the entire contents of the city map room--was a full-fledged part of our ArcIMS tool."
