The US Army’s Cargo Helicopters Project Management Office (CHPMO) maintains exhaustive records on every design feature, maintenance procedure and safety analysis performed worldwide on the CH-47 “Chinook” helicopter. More than 400 staff members generate new records every day, and these records must follow thousands of records series.

Situation

CHPMO must comply not only with National Archives and Records Administration (NARA) regulations, but also with guidelines issued by the Army Records and Information Management System (ARIMS). Because it’s a federal agency, CHPMO also needed a system with Joint Interoperability Test Command (JITC) certification and Department of Defense (DoD) 5015.2 certification. But the primary impetus for implementing Laserfiche was a citation from the fire marshal for filing cabinets blocking the aisles at CHPMO headquarters.

Solution

CHPMO chose an enterprise Laserfiche system with Records Management Edition (RME) as the centerpiece. After a pilot deployment, the project grew in scope to include electronic records along with scanned paper documents. Staff are digitizing more than 4 million pages, and they’ll soon move on to business process management using Workflow.
