Organization Profile

The SurgiCenter of Baltimore—the first freestanding multi-specialty surgical center in the country owned exclusively by physicians—was conceived in 1989 by a group of physicians intent on providing a better surgical experience for their patients. One hundred doctors and thirty-five staff members perform over twenty-five surgeries daily.

Situation

Too many people needed records simultaneously, including clinical staff, the billing department, auditors and medical records technicians. And over a five year period, case load grew from 5,300 to 8,600, and off-site storage was five miles away. The SurgiCenter faced difficulty in maintaining records integrity and patient confidentiality with paper records.

Solution

An EMR didn’t meet the SurgiCenter’s needs, because they only see patients two to three times. The SurgiCenter selected Laserfiche to store patient records, and now uses their system to speed up the billing process, manage state-mandated reporting and improve audit preparation.

Benefits

  • The SurgiCenter has merged the surgical scheduling, patient registration and medical records departments, and eliminated a full-time medical records clerk position.
  • Quick Fields automatically fills in the payor and date for each EOB in the associated template, which aids in tracking and retrieval and has resulted in much faster claims processing and collections.
  • The SurgiCenter’s administrator serves on a national HIPAA compliance panel, and she frequently discusses how Laserfiche helps organizations meet HIPAA compliance challenges.
  • During their last Association for Ambulatory Healthcare audit, the SurgiCenter received high marks for rapidly locating records—primarily due to Laserfiche’s full-text search capabilities.
