Tech Tip: Date Searches, Search Time Frames and Saved Searches

When performing searches, it’s often useful to limit them by time. For instance, you might want to only find reports from 2013 or you might want to only find invoices created within the last week. Laserfiche date searches allow you to search either for a specific date or date range (such as “4/14/2014” or “between 4/1/2014 and 4/14/2014”) or for a search time frame (such as “today” or “within the last 2 weeks”).

When you load a saved search with a search time frame, the relevant dates will be calculated dynamically by the Laserfiche Client or Web Access. For example, you might create a search to find every document with the template “Report” with the search time frame of “created this week,” and then save the search. When the search is loaded, it will return documents with the template created in the prior seven days, counting back from when the search is run, not when it was created. If you performed the search on 5/1/2014, it would return documents with that template created between 4/25/2014 and 5/1/2014; if you performed the search on 5/15/2014, it would return documents created between 5/9/2014 and 5/15/2014.

This allows you to quickly create saved searches to review documents created or modified within a particular time frame, without having to edit the dates each time you load the search. (Date searches created with a specific date or specific date range, such as “between 5/1/2014 and 5/5/2014,” rather than a search time frame, would keep the exact date range you specify.) This provides a convenient way to quickly create searches to find and review recent documents.

Tip: Laserfiche displays date information based on the calendar settings of your computer (or, in the case of Web Access, your browser). For instance, if your computer’s calendar settings are configured to display the short date as M/d/yyyy, the date will display as “4/14/2014,” and if your calendar’s settings are configured to display the short date as yyy/M/d, the date will display as “2014/4/14.” This allows you to use the regional date display that you’re comfortable with on your own computer, even if the Laserfiche Server is on a computer with different calendar settings.
